Privacy Policy
What we collect when you book the call, why we collect it, and who else sees it.
Last updated September 18, 2026. SwarmSystem is a service of Day by Day Digital, Austin, Texas.
What we collect
- Your email address. You type this in to pick a time. We use it to send your call details and to reach you about the call.
- Your answers to the three questions. How many vans you run, what is costing you most right now, and who makes the call on this kind of thing. They are taps, not typing, and they are all optional in the sense that you can close the page.
- Your name and mobile number. You give these to the booking calendar when you pick a time. The calendar is run for us by HighLevel.
- How much of the video you watched. We record whether you passed a quarter, half, three quarters, and the end.
- Technical information. Your IP address, browser, device type, the page you came from, and the ad click identifiers Facebook and Google attach to a link.
We do not ask for and do not want your customer lists, your bank details or anything from inside your own systems. Nothing is sold on this page, so we never ask for a card and no payment details reach us.
Why we collect it
- To book the call and send you the details.
- To have your business open in front of us before we dial, so the fifteen minutes is useful.
- To measure our own advertising, so we know which ads bring real conversations instead of guessing.
- To see which parts of this page confuse people, and fix them.
- To answer you when you write to us.
Who else sees it
We use outside companies to run parts of this page. They only get what they need to do their job.
| Company | What it does | What it receives |
| HighLevel | Runs the booking calendar and holds the contact record | Your email, name, mobile number and your three answers. |
| Supabase | Receives the email from the form and passes it on | Your email address and the technical information sent with it. |
| Meta (Facebook and Instagram) | Measures our ads | Page views, how far you got through the video, which questions you answered, and a scrambled copy of your email and phone. See below. |
| Google | Analytics, Tag Manager and Fonts | Page views and technical information. Fonts are requested from Google by your browser, which tells Google your IP address. |
| PostHog | Shows us how people actually use this page, including a replay of the first part of the visit, so we can fix what is confusing | Which parts you saw, what you clicked, how far you scrolled, and technical information. What you type into a box is hidden. See below. |
| Wistia | Plays the video | That the video was played and how much of it you watched, plus technical information. |
| Sentry | Tells Wistia when its player breaks. It arrives with the video player rather than being something we added | The error message and technical information. It does not record your visit. |
| Vercel | Serves this page | Standard web server logs, including IP address. |
About the session replay in plain English
PostHog records a replay of your visit and builds heatmaps from it. It is not a video of your screen and it is not your camera. It is the page redrawn from what your browser did: where the mouse moved, what you scrolled past, what you clicked, and where you clicked something that was not a button.
What you type into a box is hidden before the recording leaves your browser, so we do not see your email address as you type it.
The recording stops when you submit your email. From that point you are a named person rather than an anonymous visitor, and the rest of the page is where you answer questions and book a time. We do not record that half at all, and the recording does not start again. Recordings are deleted after 30 days.
Your name and mobile number are typed into the booking calendar, which is a window onto HighLevel's own site rather than part of this page. Nothing we run could record inside it.
About the Meta data in plain English
When you book, our server tells Meta that a booking happened so Meta can credit the right ad. To match you to the ad you clicked, we send a scrambled version of your email address and phone number. Scrambled means run through a one way process called hashing, which turns it into a string of characters that cannot be turned back into your email. We also send the Facebook click identifiers stored in your browser and your browser type.
We do this because otherwise we cannot tell which ads produce real conversations and which waste money. You can stop most of this by using your browser or device privacy settings to block advertising cookies, and by using Meta's own ad preferences controls.
Cookies and similar storage
This page sets cookies from Meta, from Google Analytics, from PostHog and from Wistia. The Meta ones named _fbp and _fbc record which ad you clicked. The PostHog one, which starts with ph_, lets us see how a visit moved through the page. The Wistia ones remember where you were in the video. The page also uses your browser's session storage to hold your email address for the confirmation screen, so you are not asked for it twice. That session storage clears itself when you close your browser.
How long we keep things
Session replays are deleted after 30 days. Analytics data is kept for 14 months and then deleted automatically. If you book a call, your contact record is kept while we are talking and for seven years after any paid work, because tax and accounting rules require it. If you never book, you can ask us to delete your email at any time.
Your choices
Write to hello@swarmsystem.com and you can ask us to send you a copy of what we hold about you, correct anything wrong, or delete it. We will reply within 30 days. If you are in a place with laws such as GDPR or the CCPA that give you extra rights, those rights apply to you here and we will honor them.
About selling your information. We do not sell it for money and we never hand your details to a data broker. We do share page views and booking events with Meta and Google so we can tell which of our ads bring real conversations. California law counts that kind of ad sharing as a sale even though no money changes hands, so we would rather say it plainly than hide behind a flat no. You can stop most of it with the browser and ad settings described above.
Children
This is for business owners. It is not intended for anyone under 18 and we do not knowingly collect information from children.
Changes
If we change this policy we will change the date at the top. If the change is significant and you are a customer, we will email you.
